What is a predictive dialer?

A predictive dialer is outbound calling software that dials several numbers for each available agent and uses live call statistics to predict when an agent will be free. Answered calls go straight to a person, while busy signals, no-answers and voicemails never reach the agent. It exists to cut the dead time between conversations.

Most dialed numbers do not turn into conversations. On a typical consumer list, the large majority of calls ring out, hit voicemail or reach a disconnected line. A rep dialing by hand spends most of the hour listening to rings. A predictive dialer does that waiting in parallel, across many lines at once, and hands the rep only the calls where someone said hello.

How a predictive dialer works

A predictive dialer runs a short loop over and over for as long as the campaign is live.

  1. Queue the leads. It pulls the next batch of dialable leads from the list into a short queue, often called the hopper.
  2. Count ready agents. It checks how many agents are waiting and how many are about to finish their current call.
  3. Dial ahead. It places more calls than there are free agents: ready agents multiplied by the dial level.
  4. Filter the results. Busy signals, no-answers and disconnected numbers are dispositioned automatically. Answered calls are connected to the next free agent.
  5. Recalculate. Every few seconds it looks at answers, drops and wait times and decides how hard to dial next.

The three settings that decide the results

Every predictive dialer balances the same three numbers. Push one and the others move.

Dial level

Dial level is how many lines the dialer uses per ready agent. With 10 agents ready and a dial level of 2.5, the dialer keeps about 25 calls in flight. Raise it and agents wait less, but more answered calls arrive when nobody is free. Floors often land around 1.5 to 3 lines per agent, higher on lists with very low answer rates, and the right number moves through the day as answer rates change.

Drop rate

A drop, or abandoned call, is an answered call that found no free agent. Drop rate is drops divided by answered calls, not by all dials. It is the ceiling on how hard a dialer can push. In the US, the FTC's Telemarketing Sales Rule sets that ceiling at 3% of calls answered by a person, measured per campaign over each 30-day period, and many floors run well under it.

Agent wait time

Agent wait time is how long a ready agent sits before the next call arrives. It is the mirror image of drop rate. Long waits mean the dialer is too cautious and the floor is paying people to listen to silence. Near-zero waits usually mean it is dialing hard enough that drops are about to climb.

Getting predictive dialing right means holding drops under the ceiling while keeping waits short. The catch is that the answer changes constantly: when agents log in or go on break, when the list moves from fresh leads to recycled ones, and when answer rates shift between the morning and the afternoon.
